Springfield Papers supply paper products to education, corporate, and commercial customers. Based in Bristol, they operate with a dedicated team of 28 staff and deliver across a wide geographic area.

Springfield Papers wanted to introduce MaxOptra route optimisation software to improve delivery efficiency and enable digital proof-of-delivery. Their existing operations were run through OGL Software as their ERP system, but the two platforms couldn’t be integrated in a way that met their needs. Neither OGL nor MaxOptra could offer a satisfactory solution.
Without a reliable connection between the systems, Springfield couldn’t take advantage of MaxOptra’s optimisation features or fully utilise it for their growing need for digital proof-of-delivery (POD). That’s when they came to us at Korba Technology Solutions.
The Solution: Custom Built Excel Tool
We developed a custom Excel-based tool with built-in buttons and coded automation to act as the missing link between OGL ERP and MaxOptra. Here’s how it works:
- Staff scan a barcode from each picking list directly into the spreadsheet.
- The tool connects to OGL’s SQL database to retrieve all relevant data — customer details, delivery location, and a full list of items on the picking list.
- Once all picking lists for the day are scanned, the spreadsheet generates a correctly formatted file.
- This file uploads directly into MaxOptra, enabling both route optimisation and digital POD.
- By extracting data straight from the SQL database, we eliminated the need for manual re-entry, reduced errors, and ensured all delivery and item-level information flows smoothly into MaxOptra.
The Results: Reliable + Accurate Data
We delivered a working solution that resolved a challenge neither of the original software providers could fix. Springfield Papers now have an easy, accurate, and reliable way to prepare delivery data for MaxOptra — with all items included for digital POD.
